Terms and Conditions: Reflective Practice Group
(Pilot Year 2025)
1. Overview of the Reflective Practice Group
Reflective practice groups are designed for professionals working with individuals, groups, and communities affected by trauma.
This is not a therapy group and should not be used or accessed as a substitute for therapy.
Participation is limited to those in official professional roles, and all applicants will undergo an application and shortlisting process
2. Membership Details
Monthly Fee: £25 per month (starting February 2025).
This fee covers:
Two reflective practice sessions per month (except during breaks).
Membership to the Understanding Trauma Book Club (accessible year-round).
Break Periods: There will be no reflective practice sessions in April, August, and December.
Commitment: Membership spans February to November 2025. Participants must reapply annually to provide opportunities for new members.
Exceptions: Members joining in the final term may be considered for extended membership into the following year.
3. Attendance and Participation
Participants are expected to attend all assigned sessions. Missing more than two sessions per term without explanation may result in removal from the group.
Participants will be notified if their membership is terminated, and their spot will be given to someone on the waiting list.
4. Payment Policies
Membership fees must be paid monthly and on time.
Failure to pay, cancellation of payment, or declined payments will result in termination of membership and removal from the group.
Participants must ensure their membership is active before the start of each new term to retain their spot in the group.
5. Psychological Safety
Psychological safety is paramount to maintaining a respectful, professional environment.
Key Principles:
Respect for all participants and their contributions.
Active listening without judgment or interruption.
Maintenance of confidentiality (see Section 6).
Breaches of Safety:
Harassment, disrespect, or any other behavior deemed harmful to the group will not be tolerated.
Participants who breach psychological safety will receive one warning. A second breach will result in termination of membership.
6. Confidentiality
Confidentiality is mandatory to ensure a safe and supportive environment.
All client names, case details, and identifiable information shared during sessions must be anonymized.
No discussions or sharing of group content outside the sessions is permitted.
Breaches of confidentiality will lead to immediate review and potential termination of membership.
7. Group Assignments
Participants will be assigned to a specific group upon acceptance and will remain with that group for the duration of the year.
All sessions will be conducted on Zoom.
8. Application and Appeals Process
Interested participants must submit an application form.
Shortlisted applicants will be invited for an interview to determine their suitability and group assignment.
If a participant’s membership is terminated or if they are not accepted into the program, they may appeal by contacting: info@project507.org.
Appeals will be reviewed on a case-by-case basis, and decisions are final.
9. Reporting Issues
Members are encouraged to report any issues, concerns, or inappropriate behaviour directly to the host, Whitney.

10. Book Club Membership
Membership to the Understanding Trauma Book Club is included in the monthly fee.
The book club has its own terms and conditions, which will be shared upon acceptance into the program.
11. Termination of Membership
Membership may be terminated for:
Breaches of confidentiality or psychological safety.
Missing more than two sessions per term without reasonable explanation.
Non-payment or cancellation of monthly fees.
Participants will be notified of the termination and given an opportunity to appeal.
12. Disclaimer
The Reflective Practice Group is not a therapeutic service.
Project 507 and facilitators are not liable for any misuse of the space as therapy.
